COACH PICK UP POINTS
Members are asked to show on the booking form where they wish to be picked up.
In between I am happy to pick up at certain points along the A49, or along the route, but do make sure your pick up point is clearly indicated in large letters on the Booking Form. It is as well, perhaps, to check by telephone a day or two before, that all is well – mistakes can happen.
HOLIDAYS
Deposit
A non-refundable deposit of £50 per person will secure the booking and confirmation will then be sent out to the ‘lead name‘ customer on the booking, and sent to the address given at the time of booking. Your balance will then be due 2 months before your holiday departure. If you book a holiday within 2 months of the departure date, full balance is required.
Cancellations
You or any member of your party may cancel at any time either in writing or in person at the office. We strongly advise taking out a suitable travel insurance cover.

We are liable for payment to our suppliers for arrangements, therefore we may need to retain some of your payment (if balance has been paid). We will always aim to help you as sensitively as we can.
Name Transfer
You can transfer your booking to someone else at an administration charge of £10 per booking.
Medical Assistance on Holiday
If you fall ill on holiday our Tour Manager will make all necessary phone calls and arrange medical assistance for you through the National Health Service.
Accessibility
We understand and are considerate to anyone with more limited mobility. Whenever possible, we cater for special requirements, such as walk in showers or special diets. Please add any special requests on your booking form. All customers must be able to manage the steps onto and out of the coach and to walk short distances.
Coaches
The coach we use are comfortable with toilet facilities on board, and we make regular comfort stops en route. Always good for a leg stretch!
Payment Options
Your payment can be made by a cheque (made out to “Rural Concierge”), by card, bank transfer or cash. If you wish to breakdown the payment of your final balance into smaller manageable payments, please let us know when booking your holiday.
If we cancel your holiday
We do expect every holiday to go ahead, but if we have to cancel your holiday, we will offer an alternative or a full refund (inc. deposit).

OVERSEAS HOLIDAYS
ENTRY PASSPORT, VISA & IMMIGRATION REQUIREMENTS & HEALTH FORMALITIES
The entry, passport, visa, health, and immigration requirements applicable to your itinerary must be checked and fulfilled by you. It is only possible for us to provide general information about this. You must check requirements for your own specific circumstances with the relevant Embassies and/or Consulates and your own doctor as applicable.
It is important to check the current position before leaving in case requirements have changed.
The majority of countries now require passports to be valid for at least six months after your return date. Check with the Embassy of the country you are visiting if your passport is in its final year. It is recommended that you obtain a UK Global Health Insurance Card (UK GHIC) prior to departure unless you already possess a European Health Insurance Card (EHIC).
For travel to Norway, Iceland, Liechtenstein and Switzerland, UK GHIC and EHIC cannot be used for medical treatment. A comprehensive medical insurance policy should be obtained prior to departure to cover emergency medical care and associated costs.

BOOKING CONDITIONS
In the event that you cannot travel or incur any other loss because you haven't met entry, passport, visa, immigration or health requirements, we will not be responsible. You agree to reimburse us in relation to any fines or other losses which we incur as a result of your failure to comply with any entry passport, visa, immigration requirements or health formalities.
Please note: The impacts of Brexit may change your visa, ticket and health requirements. Please check in advance of your departure, any impacts of Brexit on your travel, to ensure that you fulfil the requirements post-Brexit, including any passport validly requirements. FOREIGN, COMMONWEALTH & DEVELOPMENT OFFICE ADVICE
Please make yourself aware of Foreign, Commonwealth and Development Office (FCDO) advice in regard to the safety of the countries and areas in which you will be travelling and to make your decisions accordingly. Advice from the FCDO to avoid or leave a particular country may constitute Events Beyond Our Control.
FINANCIAL PROTECTION INSURANCE

RURAL CONCIERGE is a company committed to customer satisfaction and consumer financial protection. We are therefore pleased to announce that, at no extra cost to you, and in accordance with the current ''The Package Travel, Package Tours Regulations '' all passengers booking with RURAL CONCIERGE are fully insured for the initial deposit, and subsequently the balance of monies paid as detailed in your booking confirmation form. The policy will also include repatriation if required, arising from the cancellation or curtailment of your travel arrangements due to the insolvency of RURAL CONCIERGE.
This Policy is issued by Evolution Insurance Company Limited which is registered in Gibraltar No. 88737 with a registered office at 5/5 Crutchett’s Ramp, Gibraltar, GX11 1AA.
Evolution Insurance Company Limited is authorised and regulated by the Financial Services Commission in Gibraltar and authorised and subject to limited regulation by the Financial Conduct Authority (FCA) in the UK. Details about the extent of our authorisation and regulation by the FCA are available from us on request.
In the unlikely event of Insolvency of RURAL CONCIERGE please follow the procedures below:
Claims should be submitted in writing within 14 days of the Administration order or the RURAL CONCIERGE being declared insolvent supported by documented evidence quantifying the value of the claim.

Policy exclusions: This policy will not cover any monies paid back to you by your Travel Insurance or any losses which are recoverable under another insurance or bond (with the exception of Credit and Debit card). This policy will also not cover any loss sustained by Passenger(s) booked on a flight-inclusive package sold and commencing within the United Kingdom.
